It was a wonderful experience rolling out Microsoft Sharepoint across all teams and territories. The work involved:
  • Scoping the requirement of each team via presentations & seminars.
  • Building a folder framework on SharePoint, OneDrive & Teams.
  • Work with team leaders in moving over tons of documents from local storage to cloud storage.
  • Train employees on how to use Sharepoint well.
  • Building rules around the management of the new cloud storage system.
This is what I learned from the project:
  1. Transitions take time. Old habits die hard.
  2. The need for uniform folder categories at the top level for all teams and then allow for customized folders within them.
  3. Always be available to train & handhold those who are new or confused with the new system.聽
  4. Project Management means looking at all gaps, taking baby steps towards the goal, keeping all stakeholders updated (emails & LIVE) and using a Kangan board!
  5. Always enjoy the work!

Advertising Process Lead

I am so thankful to my department director for promoting me to a new role in the company, as the "Advertising Process Manager"!

In this role, I am primarily responsible for driving operational excellence through efficiencies in processes and workflows across the business - review, evolve, innovate, how the business operates and ensure the business is always ready to adapt to the market and ensures the business operates in a compliant manner at all times.

My responsibilities:

. Build strong relationships with all stakeholders
路 Support each department in analyzing inefficient processes and workflows and provide improvements
路 Map departmental processes, dependencies and systems
路 Identify interdepartmental challenges and provide a business case for review
路 Develop plans for business transformation initiatives
路 Support the definition and management of operational KPIs such as SLAs across all departments
路 Assess project solutions that impact operations to ensure it has the best business outcome
路 Reviewing the processes of each department to ensure all critical processes are documented
路 Ensure all critical business IP is documented, centrally stored, have proper change management and version control, and have the proper security
路 Assist in the digital transformation of processes, tools and platforms across the business
路 Assist in ensuring each operational solution is compliant with Sox and other audit and IT controls
路 Assist in operations admin such as financial and operational modelling, payments and vendor management

Working from home
The beginning of a new type of working for my company - Work from Home.

With the sudden onset of the COVID-19 pandemic & with employees in house lockdowns, employers across the world have had to quickly adapt to the situation by temporarily closing their office premises and allowing employees to work from home. What was once thought impossible, is now a concrete reality.

It was a new experience to me but I was surprised as to how quickly my body & mind adapted to the new arrangement. I find I am able to complete tasks faster (fewer distractions), able to spend quality time with family, attend to any critical home management, have healthy freshly cooked meals & save $$$ on public transport!

My team also took on the new mode of work well. Although there were some apprehensions around getting bored and missing the social aspect of working together in an office space, they understood the reality of the situation. I would say 90% of our team's work can be done via emails, chat and phone calls. Hence, our department hasn't been hit badly.聽

I believe the blended model of working (office + home) is the way forward for the world. In addition to the employee benefits mentioned above, WFH saves the employer money (rent, electricity, internet etc) and is also environmentally friendly (fewer vehicles on the road). I reckon major backend operations of a company (customer service, design etc) can be done from home while the frontend operations (sales) can be from offices.

Anyways, long road ahead. Let's see how everything pans out.

Due to a departmental restructure, I was entrusted with building a new junior team for the ad operations team. The task involved:

  • Working with the Human Resource team to get the job ads out
  • Filter incoming candidates * arrange interviews
  • Conducting interviews & deciding on who gets the job
  • Create a welcome kit & training agenda for the new starter
  • Training the new starter with help from my team
  • Mentoring & enabling them to grow into senior positions over 1.5 years
Two things I learned:
  1. Make your interviews fun & educational.
  2. Mentoring means being patient & listening to the other person's opinions. No ego!
